Space Usage and Rentals at Dallas College

Dallas College manages internal room reservation requests for employees and offers rental of our facilities for use by members of the community for meetings, events and programs.

All requests, from campus departments and external partners alike, are reviewed based on space availability, scheduling, and alignment with the college's mission and priorities. Submitting a request form is the first step in that process and does not guarantee or reserve space.

Please note: All facilities are closed on Sundays and major holidays.

Internal Event Requests

An internal event request is submitted by a Dallas College employee for the purpose of reserving space that supports the institution’s mission and service to our students.

Please submit your Room Reservation Request at least 10 business days in advance for events requiring Facilities, IT, Police or other critical services and at least five days in advance for events that do not require supplemental support. Please note that your request will be processed in the order it was received; someone from the Information Central team will contact you within five business days after your submission.

Internal events may require risk assessment. Please visit the Risk Management Department for more information.

External Event Requests

An external event request is submitted by a community member or organization to use a Dallas College space for purposes not directly related to official college business.

Please submit your External Event Request to hold an external event at a Dallas College location at least four weeks prior to the proposed event start date; someone from our External Events Team will contact you within five business days after your submission.

External events require risk assessment. Please complete the Risk Assessment Form after your event request has been submitted. Dallas College policies must be observed in all cases.

Room Reservation FAQs

Please submit your request at least four weeks prior to the proposed event start date. Events will be processed in the order received. Once your request is submitted, someone from the External Events Team will contact you within five business days.

For questions related to your external event, please contact Reservations@DallasCollege.edu. Someone will respond within 72 hours.

Rental space is available Mondays through Saturdays. All Dallas College facilities are closed on Sundays.

Fees are determined based on event type, space requested, services required and attendance expected.

Per Dallas College policy, employees wishing to use Dallas College facilities for personal or community use will be required to use the External Event Request process.

To rent space at Dallas College to host your event, the following documents are required:

  • A Certificate of Insurance (Liability Insurance with coverage of a minimum of $1 million dollars with Dallas College listed as an additional insured and use 4343 I-30 Frontage Rd, Mesquite, TX 75150 for the address.) Dallas College may require additional types or amounts of insurance based on the details of each event.
  • A Risk Assessment Form  is required; additionally, Dallas College’s Risk Management Department may specify other requirements related to insurance.
  • Copy of your non-profit tax-exempt determination letter or certificate, if applicable, depending on the status of your organization.
  • W-9 form
  • Facilities Use Agreement initiated by Dallas College.

All documents must be submitted within 14 days of receipt of the event confirmation letter. A fully-signed Facilities Use Agreement and payment are required 10 days prior to event day.
